Privacy Policy

Last updated: October 2026

Vidhya Sethu ("we", "us") provides a school management platform used by schools, their staff, students and parents through our website, web app and mobile apps. This policy explains what personal data we handle, why, and the choices available to you.

1. Our role

Each school that uses Vidhya Sethu decides what student, parent and staff information it enters and why. In that case the school is the data owner and we process the data on the school's behalf to run the service. For visitors to this website and for school administrators who contact us, we act on our own behalf.

2. Information we collect

3. How we use information

We do not sell personal data and we do not use student data for advertising.

4. Children's data

Student information is entered and managed by schools. Schools are responsible for obtaining any required consent from parents or guardians. Parents who wish to review or correct a child's information should contact the school first.

5. Sharing and service providers

Data is visible only to users permitted by the school's role settings. We share data with trusted providers solely to deliver the service, such as cloud hosting, email delivery, SMS delivery, push notifications, mapping and backup storage. We may disclose information if required by law or to protect rights and safety.

6. Data isolation and security

Each school's data is kept separate and accessed using its own School Code. Safeguards include role-based access, encrypted passwords, forced password change on first login, rate limiting, optional email verification codes, audit logs and scheduled backups. No system is completely secure, but we work to protect your information and review our practices regularly.

7. Retention

Data is kept while a school's subscription is active and as needed to meet legal and operational requirements. When a school leaves the service, its data is retained for a limited period and then deleted or archived according to our school lifecycle process. Backups are removed on a rolling schedule.

8. Your rights

Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you may request access to, correction of, or deletion of your personal data, and may withdraw consent where processing is based on consent. Requests relating to school records should be made to your school; you can also contact us using the details below.

9. Cookies and local storage

The web app uses browser storage and a service worker to keep you signed in, remember preferences and work faster. We do not use third-party advertising cookies.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date shows the latest version, and significant changes will be communicated through the app or by email.
